Artwork approval
Numbered versions, one explicit decision, a record per version.
ProofLivo turns each personalised item of a Shopify order into a job with proof versions, a review page for the customer and a decision recorded on the exact version.
Every proof is a version
When your designer publishes a proof, ProofLivo stores the preview, the production instructions of that moment and a fingerprint of the file. The version never changes afterwards. A correction becomes V2, then V3, and the history stays readable.
Publishing a new version replaces the previous one for the customer and withdraws its authority to be produced. If production had already started, the team must acknowledge the impact before publishing.
Frozen with the version
The preview file and its fingerprint, the attached production originals, the instructions of the moment (method, placement, colours, dimensions, quantities per line), the version note, the date and the author. None of it can be edited after publishing.
A review page your customer can use on a phone
The customer receives an email with a secure link in their language. The page shows your workshop name first, the proof with zoom, the instructions and two actions:
- Approve proof: the customer confirms the version and the instructions shown.
- Request changes: a comment is required and stays attached to the version.
- No account. Links expire, can be revoked and can be resent with a fresh link.
- A decision on an outdated version is refused: the page invites the customer to look at the current one.
What is recorded
Each decision keeps the version number, the file fingerprint, the date and the comment. Reminders go out after a few days without an answer and stop as soon as a decision is made, a new version is published or the order is cancelled.
The record is an approval trace meant for production and customer service. It is not a certified electronic signature.
Reminders
By default, one reminder two days and another five days after sending, adjustable per workshop. A reminder is never sent after a decision, after a new version is published or for a cancelled order. Resending a link manually starts the schedule again.
- Previews
- JPEG, PNG or PDF. This is the image the customer sees and decides on.
- Originals
- The production files attached to the version: SVG, TIFF, EPS or AI, PDF, WebP, ZIP. Never shown to the customer, served to the workshop.
- Sizes
- Up to 25 MB per preview and 100 MB per original. Every file is checked after upload (real type, fingerprint) before it can be published.
- Review link
- Valid for 30 days by default, adjustable from 1 to 365. Revocable at any time; resending a link invalidates the previous ones.
- File links
- Images on the customer page are served through temporary links of 5 minutes. Files live in a private bucket, never public.
- Reminders
- Two days then five days after sending by default, up to five configurable reminders.
- Who publishes
- The owner, the production manager and the designer publish versions and manage links. The operator sees files and moves production forward.
- Languages
- English and French for the customer page, the emails and the admin. The customer's language comes from Shopify and can be switched on the page.
- It does not create or edit artwork. Your team prepares files with its usual tools.
- No certified electronic signature: the decision is an approval trace, with version, fingerprint, date and comment.
- It does not replace your contract terms. Keep your own conditions about proof responsibility.
